Hi, I’m Makena. This page explains the information I collect from you, why and how I use it, and how to get it back or get rid of it. If you booked a project with me, my Terms of Service cover the work itself. This page covers your information. The two are separate on purpose, because I don't want any updates to this page to result in having to re-version our contract.

1. Who This Covers

Everyone, not just clients.

If you filled out my inquiry form and never booked, I still have what you sent me, and this page applies to you the same way it applies to someone who paid. You never signed anything and you don’t have to do anything now. Section 10 explains how you get a copy of the form or ask me to delete it, and it works the same for you as for anyone else.

If you booked a project, this covers everything you sent me and everything I created for you. However, if you just follow me on social media, I don't hold anything about you beyond what the platform shows me, and this page has nothing to do with that.

2. What I Collect

From the inquiry form, before you book anything: I receive your name and email address; how many rooms you’re thinking about and roughly how big they are; your budget range; what kind of project it is; and which style you’re drawn to.

From the project brief, after you book: I will see photographs of your home; measurements of your rooms, ceilings, doorways and stairs; what you’re keeping, what you need, and what you definitely don’t want; any deadline you’re working to; practical things about how you live, such as whether you have pets or small children, whether you rent, and how deliveries get into your home; and anything else you decide to tell me, which is often the most useful part.

When you pay: I see your name, email address, and the amount you paid. Stripe handles the payment itself and I never see your card number.

When we email: I have access to the emails we send one another, and roughly when they were opened and clicked. I use your email address to reply to you about your inquiry or your project, and I may also use it to send you occasional emails about my work, new packages and offers. Every one of those marketing emails has an unsubscribe link in it, and section 9 explains how that works.

3. Photographs Of Your Home

To design your room I need photographs of the inside of your home. That is the single most personal thing I hold. Those photos show your space, your belongings, sometimes your family’s things, and sometimes rooms that are visible from the ones you meant to send me.

I use these photographs to design your project, I store them in your project folder, and I keep them for as long as section 5 says. I do not put them anywhere public unless the sharing permission in my Terms of Service applies, and that permission has a written opt-out option you can use at any time.

If you send me a photo with a person in it, including a child, tell me and I will delete that photo and work from another one. If there is anything in a photo you’d rather I didn’t see, crop it out or cover it before you send it. I’d rather you sent me a slightly worse photo than something you’d rather I didn’t have.

4. Why I Have It & What Lets Me Keep It

Three plain reasons, and everything I hold falls under one of them. To do the work you paid for: your photos, measurements and brief exist so I can design your room. I also have payment records, invoices and the basics of who bought what. I have your email for marketing emails and I may use your project in my portfolio. Both of those have a way out, in section 9 and in my Terms of Service, and using either one changes nothing about the work I do for you. If you’re outside the United States, those three reasons have formal names in your local law and you may have extra rights on top of what section 10 gives you. Ask me and I’ll do whatever your law requires.

For influencer projects, be advised that your name, handle, and photographs will be used for my portfolio and social media, so long as we have agreed in writing before the project starts.

5. How Long I Keep It

If you inquired and never booked, I keep what you sent for 24 months after we last spoke, and then I delete it. If you booked a project, I keep your project, including your photographs, for 3 years after final delivery. The reason is that clients come back, and it is much better for you if I still have your room, your measurements and what you already own when you do. After 3 years I delete the project files, including your photographs. Two exceptions: anything I have already published under the sharing permission in my Terms of Service stays published unless you ask me to take it down, and payment records are kept for 7 years because tax rules require it. You can ask me to delete your project sooner, at any time, and I will.

6. Who Else Touches Your Information

I run a small studio on ordinary software rather than anything custom, so a handful of companies process your information on my behalf. Google Workspace is my email and where your project files and photographs are stored. Stripe handles payments; your card details go to Stripe and never to me. Tally is the project brief form, which is also how your photographs reach me. Notion is where I keep the record of your project, meaning what you asked for and where it has gotten to; your photographs are not stored there. ShopMy is how I build your shoppable product list and the links in it. Framer is how I built my website to share all MS Interiors information and details with you. n8n, hosted on Railway, is the automation that moves information between these tools so I don’t have to retype it. It passes your details through and does not keep its own copy long term. Each company only uses your information to provide its service to me. If I add or change a tool, I’ll update this page.

7. I Don’t Sell Your Data

I have never sold anyone’s information and I’m not going to. I don’t share it for anyone else’s advertising, and I don’t hand your email to anybody. The only people who see your information are the companies in section 6, and only so they can do the job I’m paying them for.

8. One Thing About The Shopping Links

The product links in your design are affiliate links, which is explained properly in my Terms of Service. When you click one, the retailer and the link service can see that a click happened and, if you buy, what you bought. That is how I get paid a commission. They don’t get your brief, your photographs or anything else about your project. They get the click. And you don’t have to use my links at all, which is also in the Terms.

9. Emails I Send You

If you inquire or book, I’ll email you about your inquiry or your project. Those aren’t marketing emails, so you can’t unsubscribe from them, because they’re how the work gets done. Separately, I send occasional marketing emails about my work, new packages, availability and offers. If you inquire or booked, you’ll get these unless you tell me not to send them to you. Every one of these emails has an unsubscribe link at the bottom and a postal address for the studio. One click, no questions asked, no hard feelings, and it doesn’t affect a project you have running. If you unsubscribe I keep a note of your email address for the sole purpose of not emailing you again.

10. Getting A Copy, Or Getting Deleted

Email me at makena@msinteriors.co and ask. That’s the whole process, and it’s the same whether you’re a client or someone who filled in the form eight months ago. You can ask me to send you a copy of everything I hold about you, correct anything that’s wrong, delete your photographs, your whole project, or your inquiry, stop emailing you, or stop using your project in my portfolio. I’ll confirm I’ve received your request within 5 business days and finish it within 30 days. I won’t charge you, and I won’t ask you why. The two things I can’t do are delete a payment record I’m required to keep, and un-publish something somebody else has already reposted or screenshotted. I’ll take down my own copies within 7 days.

11. Keeping It Safe, Honestly

Your information sits inside the accounts listed in section 6, all of which are reputable companies with proper security. I use strong passwords and two-factor authentication, and I’m the only person with access to the accounts holding your photographs. What I’m not going to do is promise you that nothing can ever go wrong. If something does go wrong and your information is affected, I’ll tell you.

12. Children

My services are for adults, and I don’t knowingly collect information about anyone under 18. If a photograph you send me has a child in it, section 3 applies. Tell me and I’ll delete it.

13. If This Page Changes

I’ll update this page and change the date at the top. If it changes in a way that actually affects you, rather than because I swapped one tool for another, I’ll email you about it. This page is separate from my Terms of Service on purpose. Changing this page does not change the terms of a project you’ve already booked.
